Cashless catering for retail. One card from HQ to the shop floor.

Faster service, no cash, one colleague card across every site.

VMC has built cashless payment and EPoS systems since 1991. We write the software, make the hardware and fit every system ourselves from our factory in Southam. Cashless catering for retail is one of the things we do best, because we have run it in real stores, depots and head offices for more than twenty years. When a retailer needs one payment card that works from the boardroom to the loading bay, we are usually the people they call.

Retail is not one building. It is a head office, a spread of regional distribution depots, a run of fulfilment centres and a long list of store canteens and colleague rooms. Feeding the people who keep all of that moving is a job in itself. Our system handles it. One account, one card, no cash to count at the end of a shift.

What is cashless catering for retail?

It is a simple idea. Every colleague has an account linked to a card, a badge or an app. They load money onto it, or you load a subsidy for them, and they tap or scan to pay for food and drink across your sites. No cash changes hands. The system records every sale, applies any allowance automatically and gives you clear reporting on the back office. For a business with many locations, it turns a messy, cash-heavy job into something fast, tidy and easy to run.

Built for the back of house first

Behind every tidy shop floor sits a small army. Planners at head office. Warehouse teams handling stock. Depot crews keeping product on the road through the night. These are the people who feel the benefit of cashless catering for retail the fastest. It’s because they eat on-site at odd hours, and they do not want to fumble for coins on a 15-minute break.

We set the system up to work across every one of your sites and through whatever point of sale suits each one. A staffed till in a busy canteen. A self-service kiosk in a colleague room. A card reader on a vending bank running around the clock. Our grocery clients Tesco, Asda and Aldi give their people a single cashless card that works everywhere, from HQ to the distribution depot to the in-store canteen. One card. No cash needed, wherever they happen to be that day.

That reach is the whole point. A colleague might be at the depot on Monday and covering a store twenty miles away on Thursday. The card does not care. It follows them.

Cashless catering for retail, built and supported in the UK since 1991.

Proof from sites like yours

We have worked in retail since 2002, so this is well-travelled ground for us. One of our long-standing clients puts it plainly: “VMC have been supporting us since 2007 with cashless catering and vending across 911 stores and 25 fulfilment centre Colleague Rooms, providing a vital service daily to more than 200,000 colleagues.” Another, running a demanding operation, told us: “We have a standard VMC support contract and due to the reliability of the VMC system we have found this to be more than adequate for our 24 hours, 7 days a week operation across 23 sites.”

Asda is a good example of the scale we handle. Their colleagues use a cashless card to buy food and refreshments across 361 stores and 24 distribution depots. They load a cash value onto the card to build an electronic purse, then spend it in any restaurant or vending machine, from head office to the smallest store. They chose us after a year-long tender. We do not take that lightly.

You will also find our systems behind some of the biggest names on the high street, including Next, River Island and Harrods. Different businesses, different needs, same reliable core underneath.

One core, built around you

No two VMC systems are the same. Our in-house team takes the core Flex platform and shapes it to fit each retailer. That is why we offer a wide menu of features rather than a fixed package. Cashless payment. Contactless debit and credit. Loyalty. Pre-ordering. Subsidy management. A mobile app in your own branding. You pick what you actually need and leave the rest. And if you want something that does not exist yet, we build it. New features are our favourite kind of problem.

Flex is a closed-loop cashless system at heart. It runs fast payments and gives you clear, real-time reporting on what is selling and where. It also keeps working when the network does not. No connection, no problem. The tills carry on, the sales still record, and everything reconciles once you are back online. In a distribution depot at three in the morning, that matters.

Faster service, no cash, one colleague card across every site.

Keep the queue moving

Colleague breaks are short, and the clock is unforgiving. A slow till turns a 20-minute break into a 10-minute lunch, and people notice. So we build for speed.

A cashless tap clears the till far quicker than cash. Add a self-service kiosk and people order and pay without waiting for a member of staff at all. Our VMC Kiosk lets colleagues pre-order hot and cold food for collection, or scan pre-packed items and go, using contactless, a mobile wallet or their Flex balance. The kitchen sees the order on a display, prepares it, and the collection point does the rest. Fewer people standing in line. More people actually sitting down to eat.

Topping up made simple

Colleagues add money to their account in whatever way suits them. Online through a web portal. In seconds through the VMC mobile app. At a top-up point on site if they prefer cash to card. The balance sits in their electronic purse, ready to spend anywhere on your estate.

For larger operations, we set up payroll loading, so a fixed amount, or a chosen top-up, comes straight off pay. Auto top up keeps the balance from running dry, so nobody gets caught short at the front of the queue. The app shows the balance and recent spend at a glance, so there are no surprises.

Service sorted. Cash gone. Queues short.

Rolling this out across a national estate sounds daunting. It is not, because we have done it many times and we plan it around your business. We import your colleague and payroll data, configure the tills and readers for each site, and phase the go-live so no single location gets overwhelmed. We run the new system alongside the old one during the changeover, then step the old kit down once the new one is bedded in. Your people get a short, plain guide to the card and the app. Most sites find the line moves faster inside the first week.

One account, everywhere they work

The strongest thing about our setup is how far a single account stretches. One colleague card pays for lunch in the canteen, a snack from the vending bank, a coffee at the kiosk and anything else you choose to put on the system. It works at head office, at the depot, at the fulfilment centre colleague room and in the store canteen. The same balance, the same card, wherever the shift takes them.

That is not a promise on paper. It is exactly how our grocery clients already run, day in, day out.

Subsidies and allowances, applied quietly

Many retailers give their people a food subsidy, a discount or a set allowance as part of the package. Our system applies it automatically at the till. The colleague taps, the right price shows, the allowance comes off, and nobody has to ask for it or explain it. It stays consistent across every site, and your finance team gets clean reporting on exactly what has been spent and where. Hospitality budgets and staff benefit purses work the same way, quietly and without fuss.

Take the cash out of the equation

Cash is expensive long before you spend it. Someone has to count it, bag it, bank it and reconcile it, and every step invites a mistake. A cashless catering for retail system takes that whole task away. No till floats to manage. No end-of-day counting. No banking runs. No small discrepancies that swallow an afternoon to trace. Your managers get their time back, your finance team gets accurate figures, and the risk that comes with cash on-site simply goes.

Security and compliance built in

Money and data need looking after, so we do not cut corners. We hold ISO 27001 certification for information security. We only work with payment providers that meet PCI DSS standards, among them Worldpay and Global Payments. The cards themselves use trusted technology from Legic, NXP and HID, and the system can tie into your access control so one card opens the door and buys the lunch. If your compliance team has questions, they will like the answers.

Support from the people who made it

When you call us, you reach a UK team that knows the technology because we built it. New install or an upgrade, you deal with people who wrote the code and made the hardware, not a call centre reading from a script. Our kit is made to last, and our clients tend to stay with us for years, which tells you most of what you need to know about the support behind it.

We listen first, then design

Thirty years in, we have learned that the best system starts with a proper conversation. We never hand you a copy of someone else’s setup and call it a day. We take the time to understand how your sites run, where the pressure points sit and what your colleagues actually need, then we design around that. Small canteen or national estate, the approach is the same and the benefits are too.

Frequently Asked Questions

Can we keep colleague balances if we switch from another system?

Yes. We carry over balances, map your products and menus, and run the new tills alongside the old ones during the changeover. Your people get a short, plain guide to the card and the app. Most sites find the queue moves faster within the first week.

Will it work across all our sites?

Yes. One account can follow a colleague from head office to the depot to the store canteen. That is how our grocery clients already run, across hundreds of stores and dozens of distribution and fulfilment sites.

Can we apply staff subsidies and discounts?

Yes. The system applies subsidies, discounts and hospitality allowances automatically at the till, consistently across every site, with clean reporting for finance.

How do colleagues add money?

Online, through the mobile app, or at a top-up point on-site. For bigger operations, we set up payroll loading and auto top-up, so balances stay healthy without anyone thinking about it.

Does it cover vending as well as the canteen?

Yes. The same card works on vending banks, kiosks and staffed tills, so colleagues on night shifts and odd hours are covered around the clock.

Can we use it front of house with our own customers?

Yes. The same platform can run your customer loyalty and membership schemes, allocate rewards and redemptions at the right moment, and gather useful data on shopping habits to sharpen your offers.

Is it reliable enough for a 24/7 operation?

Yes. The system works on and offline, so the tills keep serving even if the network drops. Clients running around the clock across dozens of sites rely on it every day.

Who supports it after it goes live?

Our UK after-sales team looks after every system we fit. You deal with the people who built the technology, not a third party.
