What is a closed loop payment system?

We often talk about closed loop and open loop payment systems in the world of cashless technology but, outside of the payments industry, what do they really mean? More importantly, how can organisations decide which system is the right fit for their environments payments whether that’s a workplace, university, leisure facility, or retail setting?

So what does “Closed Loop” mean?

A closed loop payment system is where payments are made and accepted within a defined environment. Unlike “open loop” systems, which use bank cards or third-party providers (like Visa, Mastercard, or Apple Pay), a closed loop system operates only in a specific network.

In simple terms, in a closed loop payment system, users usually load funds onto an account, card, or mobile app that’s tied to that environment, and then spend those funds exclusively within that network. This is sometimes referred to as a closed group payment approach, as it restricts transactions to a particular organisation or venue.

Benefits of Closed Loop Systems

  1. Convenience for Users – No need for cash or multiple cards; one account covers everything within the site.
  2. Increased Loyalty – Keeps customers or employees spending within your environment.
  3. Operational Efficiency – Faster transactions reduce queues and cash handling, while also making it simple to manage subsidies, discounts, and other entitlements.
  4. Data Insights – Understand customer behaviour, identify peak times, and tailor promotions.
  5. Cost Savings – By eliminating cash handling and reducing reliance on credit/debit card payments, transaction costs are cut or even removed altogether.
  6. Security – Less physical cash on-site reduces the risk of theft or fraud.

Where do closed loop systems work best?

  1. Workplaces – Employees can use their ID badge or app for food, drink, and services on-site.
  2. Education – Students use prepaid accounts for meals, vending, or other facilities such as printing, creating a safe and controlled spending environment.
  3. Leisure & Hospitality – Guests top up a wristband or card to use across cafés, bars, and activities, ensuring a smooth and contactless experience.
  4. Retail – Closed loop systems encourage loyalty and repeat purchases within a brand ecosystem.

By adopting a closed loop cashless payment system, organisations can create a seamless, secure, and user-friendly experience while unlocking valuable business insights.
